Booking the 'BEST' Corporate Event Venue

Selecting an amazing space for your corporate event can be a challenge. Especially, when the responsibility isn’t exactly in your job description. However, you can’t toast your co-workers around the office water jug, or enjoy a great buffet at your desk! A great setting is essential, but it is important to book a venue that match’s the needs of your event. Break down all of the elements of how the event will be setup. To help you out, we have broken down basic elements for you and detailed what you should consider. The key is to know exactly what your event will entail and exactly what you’ll need from a venue for a great success.

    Decorations & Themes

The theme of the party will dictate what type of décor you will need. You need to ensure if the venue will allow you to bring in additional décor, or not. Request a list of the venues rules and regulations. Not every event space will allow you to hang decorations on the walls, or build entertainment platforms.

    Seating Arrangements

Once you have a general idea of the number of people that will be attending, decide how they will be seated and how they will mingle. A few examples of seating include: classroom style, banquet style, theatre style, etc. There is a large array of how you can have your guests arranged throughout the event. In addition, it’s important to know if you will need to bring in tables and chairs, or if the venue will provide tables and chairs. Figure out the best seating, and then how the venue can help!

    Privacy level

Every venue will offer a different background of noise, or random bystanders. Decide what level of privacy will suit the company’s celebration. A high level of privacy will ensure that the event has a space that is blocked off from any access noise, or people. A semi-private space will reserve a particular area for the event, but the space will be submerged and roped off within a public area. Think specifically about what kind of privacy you need for the corporate event. For example, will someone be giving an important speech? Or will employees be networking with important clients?

    Additional Amenities

Don’t assume that the venue is equipped with a microphone, podium, or any kind of technical equipment. These may be items that you have to bring to the venue for your event. Furthermore, a wait staff, or cleaning service may not be provided by the venue. You must ask questions about all of these amenities in order to be properly prepared!

The elements we have broken down for you should be a great foundation for accessing venues. However, don’t let this be your only guideline. There are a multitude of other details, but these elements should allow you to select the perfect corporate venue.

    Remember –

“Every one of us is an artist, and as an artist, you really can stroll into any venue that you want, as long as you take your time to learn the etiquette of that venue.”  - Terrance Howard
