What Corporate Planners Look For During Walkthroughs

Walkthroughs are an easy way to sell your venue by showing event planners all of its best features. The hour or so that it takes to help your client visualize their event in your space could mean thousands of dollars in revenue for your business. When doing a walkthrough you’ll want to be sure you are highlighting things your planner clients care about, or that may not have realized by just searching your venue online. Prepare yourself by knowing what corporate planners are really looking for when they visit your space. 

Capacity

Obviously, your corporate client wants to make sure your venue is large enough (or intimate enough) for their event. Be prepared with max capacities for each type of room set your client may be considering.  Providing diagrams that they can take home with them is also helpful, and don’t forget to account for the space required for staging, AV, or FB needs. 

 

Lighting

You’ll want to point out how the lighting in your space works, and what would be best for the type of event your client is hosting. Does the room have windows that let in a lot of natural light? While that is good for a reception, it could be bad for a presentation. Discuss with them what kinds of lighting will be required and how your venue can accommodate. 

 

AV Capabilities

What kind of AV is available with space? Does the room have AV included, or will it all be at a separate charge, is there AV onsite or does it all get brought in? These will all be important questions that will need to be answered for your client. Making sure to cover all these items will instill trust in your venue and leave your client at ease. 

 

Event Flow

Help paint a picture for your event planner. By walking them through the flow of their event. Point out items like entrances, registration location, where food stations and bars will go, how the stage will look, ect. By helping your event planner visualize how the event will look they will be better prepared to communicate the logistics to their attendees and feel confident that the event will go off the way they’ve imagined. 

 

Unique Features

Event planners are ultimately looking for ways to make their event stand out to help them draw in attendees. If your venue has a unique feature, be sure to point it out! Anything that a corporate client could use when marketing their event at your venue is a plus - location, outdoor spaces, and noteworthy achievements or stories are all ways to help embellish your space. Don’t be afraid to really sell your venue!
